The Executive Assistant provide general administrative support to the General Manager, this position will be responsible for various duties supporting the Office of the General Manager and the DigiPRO Media Group Executive Team, as directed by the General Manager. The Executive Assistant is responsible for Providing individual support to the General Manager on general administrative tasks, such as: Calendaring, meeting coordination and logistics, travel arrangements, expense reports, filing, organization of the office, document preparation and copying, arranging IT and facilities support; Creating, editing and managing presentations and documents as required. The Executive Assistant is also responsible for collaborating with and the training of other Management Assistant and the Administrative Assistant, and managing the organization’s overall administrative functions such as but not limited to: Coordinating meetings, phone conferences and off-sites internally and externally; Managing staff agenda requests, staff meeting calendars, and meeting logistics and communications; Working with the Operations Assistant to coordinate Operations staff group trip agendas and logistics with appropriate stakeholders; Manage archives of Operations staff meeting minutes and other presentations made to the Operations staff; Ensure that ops staff action items are followed through with appropriate owners; and Assist in collecting and assembling information and materials from various stakeholders for quarterly meetings and reports.


Requirements: Bachelor’s degree (Management, Administration or Business Studies) and six plus (6+) years equivalent work experience supporting in-demand individual in a dynamic office environment with a professional demeanor and ability to maintain grace under pressure, at all times; and the ability to interface effectively with people at all levels inside and outside of the company, including very senior management and talent. A successful candidate will be organized, assertive, motivated, and have experience working with VP or C-level executives; Able to work effectively and proactively with a minimum of direction and juggle multiple demands simultaneously; and demonstrate a high degree of professionalism and attention to detail. You must reliable, trustworthy, and exercises sound judgment; Able to prioritize, apply sound judgment, and perform duties to a high ethical standard; and Must be trusted to handle highly-sensitive, confidential and non-routine information (Background Check Required). The Executive Assistant must be an Excellent communicator and team player; Have excellent interpersonal and communication skills, and be as articulate and well presented on the phone as in email. A strong sense of humor is a plus; you must be able to work enthusiastically and helpfully across organizations, levels, and diverse personalities; Treat colleagues and customers in a manner which demonstrates integrity, honesty and fairness; Work effectively within a variety of situations, individuals and groups without applying the 'whatever it takes' attitude; Be a good listener, versatile and enjoys a challenge. The Executive Assistant should be comfortable juggling tasks from the mundane to the more strategic; Enjoy wearing many hats and looking for ways to improve processes; Proficient with Microsoft Office (Word, Excel, PowerPoint, Access and Outlook), Microsoft Publisher and Microsoft Project, and other office productivity tools (email, calendaring), and willing to learn new technologies.
